The stand-up meeting, a brief daily or regular gathering where team members share what they are working on, became popular because it replaced long status meetings with a quick, focused check-in. When it works, it keeps everyone aware of what the others are doing and exposes obstacles early. When it drifts, it grows into a lengthy report to the manager. Here is how to keep yours sharp.
The purpose is coordination, not reporting
The point of a stand-up is for the team to coordinate with each other, not for individuals to prove they are busy. People should speak to their colleagues, not to the person in charge. If the meeting feels like a performance review, rethink the format.
A simple format
Many teams ask each person to answer three questions: what did I complete, what will I focus on next, and what is blocking me? Some teams prefer to walk the task board from right to left, discussing items rather than people. Choose one approach and stay consistent.
Keep it short
- Limit the meeting to fifteen minutes at most.
- Stand up, literally, if you are in the same room. It encourages brevity.
- Keep it at the same time every day so it becomes a habit.
- Use a timer if discussions tend to run on.
Park the long conversations
Stand-ups often reveal topics that need deeper discussion. Resist the temptation to solve them there. Note them on a “parking lot” list and invite only the relevant people to talk afterwards. This keeps everyone else’s time free.
Adapt for remote teams
For distributed teams, a short written stand-up in a chat channel can be as effective as a live meeting, and it accommodates different time zones. Some teams alternate between written and live updates, using the live session for discussion of blockers.
Know when to change it
If people struggle to say anything useful, or the meeting has become a ritual, try changing the frequency, format, or attendees. A stand-up should earn its place each day.
